Letters of Recommendation

Letters of Recommendation

Some jobs at UNI require letters of recommendation. The method used for collecting the letters is indicated by the Search Committee in both the online advertisement and the online application. The two methods for collecting letters of recommendation are described below.

Online Option

Professional references will be required to upload letters of recommendation.

The Jobs@UNI online applicant system incorporates a process by which you identify your recommendation providers (a minimum of 3 are required) during the online application process. Once you submit your application, the system instantly notifies the providers by e-mail on your behalf. After they upload their letter of recommendation, it is combined with your online application. The e-mail notification is a system generated e-mail containing a one-time use token link to upload the letter of recommendation. It is important for providers to only click on the token link once they are ready to upload the letter as the link is deactivated after the first click.

Spam or E-mail Filter Information
If a provider has any spam blocking or other software intended to filter out certain e-mail, they may not even see the e-mail request. Please ensure that your providers have either disabled such software or “allowed” from the e-mail address <equity@uni.edu>.

Manual Option

Hiring department will manually collect letters of recommendation.

Letters of recommendation are collected by the Search Committee outside of the Jobs@UNI system. Please contact the Search Committee directly for specific instructions on submitting Letters of Reference for a position. The Search Committee contact information is located below the Contact Information heading at the bottom of the requisition description. The Contact Information section provides the e-mail address of the contact who has in-depth knowledge of the position and is able to answer any questions regarding Letters of Recommendation.

Frequently Asked Questions

  1. What should I do if my recommendation provider says they never received the notification e-mail asking them to write a recommendation?
The most common reason why the e-mail notification is not received by a provider is because the notification e-mail is blocked by a "spam" filter as part of their email software. The automated e-mails are sent from <equity@uni.edu>. Please ask your provider to double-check their email messages and their spam folder, looking for a message from "equity@uni.edu" with a subject line that says, "Jobs UNI: Request for Letter of Recommendation."

  2. What should I do if my recommendation provider cannot find or accidentally lost the e-mail?
If they cannot find the e-mail message, or they accidentally lost it, please email jobs-support@uni.edu and a new system email will be sent.

  3. How do I view the status of my online letters of recommendation?
Click once on the Requisition Number (Req#) found in your Job Application History section to access the application. Listed under the Letters of Recommendation heading is the date the letters were requested and uploaded into the system.
  4. View Letters of Recommendation Status
  5. Will my application be given full consideration if a online letter of recommendation is not received?
Applications may not be given full consideration if online letters of recommendation are not received before the full consideration date.

  6. How do I authorize the search committee to contact my recommendation providers for a letter of recommendation?
When letters of recommendation are collected online through Jobs@UNI, authorization must be selected in Professional References in order to complete the online application process. This authorization is only for letters of recommendation. Letter of Recommendation Authorization from Applicant to Contact References
