Board Meeting - Minutes

Minutes: Minutes from the August 26th Transitional Meeting were read and approved with Lloyd moving to accept and with Bill providing a 2nd.


Treasurer's Report: The Treasurer's Report for August was read and approved with Chris moving to accept and with Bill providing a 2nd.

Current Balance for the General Account as of August 31 is - $2,138.51

Current Balance for the Sponsorship Account as of June 1 is - $5,088.89
 



1. Club Budget 2003-2004 - Chris presented copies of the "Proposed Cedar Valley Sertoma Budget - 2003/2004." Paula suggested that the club review the condition of the General Fund in January 2004 to determine whether income and expenses continue at an acceptable level. Lloyd moved to accept the budget with Paula's provision - and Duane providing a 2nd. Motion to accept the 2003-2004 budget passed.


2. Flagpole Decals - Duane reintroduced the idea of having "Sertoma Decals" and contact information attached to each flagpole. Duane moved and Carlin provided a 2nd to have Carlin begin experimenting and then fully implementing these flagpole enhancements. Motion passed.


3. Club Scribes - Duane, Jessica, Paula and Chris have each volunteered - as has David Greene at an early date - to serve as "Scribes" for 2003-2004 during Business and/or Board Meetings. Scribes are responsible for taking minutes during these meetings and then forwarding them to Secretary Joe Alemao and Webmaster Chris Neuhaus for archiving and distribution.

Scribes will rotate as follows -
4. Collegiate Clubs - Chris read recent e-mail requests from Vicky Smith (President of the UNI Student Social Work Club) and Sarah Spinler (President of the UNI Student American Sign Language Club) to participate with the Sertoma Club in fundraising events and community projects.

NOTE #1 - Chris met with both Vicky and Sarah on Friday, September 12 and both expressed renewed enthusiasm to work with our club. Sarah and Vicky were both interested in helping to sell tickets, flip pancakes and make rolls for the pancake and Valentines Day fundraisers. Some possible scenarios - allow the proceeds from those tickets sold by the Social Work and Sign Language students to go to these clubs to support their endeavors and/or have the proceeds from student ticket sales go to community projects identified by these student clubs.

NOTE #2 - The UNI Student American Sign Language Club is the very club we have identified as a potential Collegiate Sertoma Club

NOTE #3 - Sarah and Vicky plan to have their clubs work cooperatively on a number of projects (indeed Sarah is an officer in both clubs).

NOTE #4 - Vicky and Sarah stated that they would like to have their clubs help with the flag raising on Veteran's day

NOTE #5 - Duane will be meeting with both Sarah and Vicky during the upcoming week to further explore possibilities of cooperation between our Club and these UNI Student Clubs.

NOTE #6 - The above will also be discussed at the next Business Meeting - Tuesday, September 16.


5. Pancake Breakfast - Carlin is going to investigate the feasibility of the Broom Factory kitchen for this year's pancake fundraiser. One concern - when will Dorothy need access to her kitchen to prepare lunch etc. Note - past pancake fundraisers have run until Noon or 1:00 p.m. with cleanup extending until 2 or 3:00 p.m.

Bob Robinson has booked the American Legion hall and kitchen for the weekends of October 25, November 1 and November 8. If the club decides to hold the pancake breakfast at the American Legion our contact is Ed Buckman at 266 1525.

Carlin suggested that the club contact Pheasants Forever to invite them to this event (first day of Pheasant season).
