Board Meeting - Minutes

Meeting called to order at 5:23
Treasurers Report: None was made as Lloyd Berry was not present.
OLD BUSINESS:
Audit Committee: Dave Greene reported that Paul Morris was still working on the audit.....
but not to worry, everything is OK.... He is attempting to set up a better way for future
book keeping I.E. cut off dates etc... Final report next month.
Budget approval: A lot of good discussion ensued. We approved the budget for the coming
year with the following amendments.... Change the cost of meals to be $6,118.00 the same
as Expenses $6,118.00. ALSO.... increase the expense
for complimentary meals to $500.00 as we are expecting more invitations for membership
thus more comp. meals....
NOTE... there is $160 in income (donated by Dan Deery) and no expenses for
the Golf outing. This has been deleted in place of
the new promotion of our
Flag Display sponsorship.
The great amount of carryover from last year was also discussed. Perhaps we should fund
(unnamed as yet) project to best put the SERTOMA name in front of the community... Any
ideas ?? All else is OK Motion made by Carlin, 2nd. Tom, carried.
Pancake Breakfast: Carlin is making up more tickets. Posters will also be ready by next
week.... Carlin will see that tickets get into the hands of people at UNI that aren't
always at meetings. Dave Greene will pursue others, and also some Waterloo Banks. Also see
about marquee use at US Bank.
Bylaws & Constitution: Bill Robinson led a lengthy discussion on updating the Bylaws
& Constitution .... By the end of the discussion I think we have made our final
corrections which have now been handed to Donna Robinson for retyping and distribution to
the club in another week or so. Constitution motion by Carol Cooper 2nd. Carlin, motion
carried. Bylaws motion made by Bill Robinson 2nd. By Bob R. motion carried.
NEW BUSINESS:
Fall East & West District Conference will be in AMES Sunday Nov. 10 at the Starlite
Best Western. The fee including noon lunch will be $25.00+- . We hope to have a good
representation from our club going.
Ray McIlvain Estate: A call has come from Bob Braun, a lawyer representing the Estate,
regarding funds yet to be distributed from a trust of Ray McIlvain.... We should hear the
results of this perhaps in another 2-3 months.
Funding request:: A request from EPI was reviewed which at this time is for a particular
deaf persons need. (A Strobe light fire alarm) This type of funding we normally don't
respond to.... However.... This might be a venture in responding to a need from an
"organization" ... not just one person.. We approved the payment of $125.00 to
an Eric Christiansen of EPI to pay for
this light. Further discussion will be required with Eric to discuss future expenditures
of up to 3 to $500.00 a year. Motion made by Carlin, 2nd. Tom. ... Carried
