Departmental Email Accounts: Changes with Collaboration Suite
***NOTE*** - Departmental accounts DO NOT require a username change in their desktop email clients (Thunderbird,
Outlook, ect) as previously announced. Departmental accounts that had their username changed will use
that new username for the web based email clients.
Responsible User:
Each departmental email account has a full time faculty or staff user linked to it as the account’s responsible user.
This user will have to be the one to request password resets, and is the person that will be contacted for questions
or problems with this account.
Initial Password:
The initial password for departmental email accounts will be the same as the initial password for the responsible user
linked to that account. The initial password formula for Collab is as follows:
• The first two letters of your birth month followed by
• The two-digit day of your birth day followed by
• The dollar sign ($) followed by
• Your 6 digit UNI_ID number
For example: a user has the UNI_ID of 123456, and was born on January 26, 1970. The initial password would be
ja26$123456.
Username Changes:
Feedback from the UNI community prompted Information Technology Services to research solutions which would simplify the
application process for computer accounts as well as decrease the number of passwords required to access computer
applications across the university.
In order to keep usernames consistent across multiple systems, ITS has limited usernames to 8 characters in length.
To satisfy this requirement departmental accounts with longer than 8 character usernames will have their username
changed to a username in the m9000000 format. The username change information has been shared with the user responsible
for that departmental account and with their designated support person(s). Follow the instructions at
Changes To Email Clients to change the outgoing account name on your desktop client configuration. You will also need this username to use either of the web clients and when it's time to change the password.
Changing your initial Password:
Since departmental email accounts cannot log into MyUNIverse, the initial password for these accounts
will have to be changed through a web based email client.
****There is a problem when using the WebAccess client to change your password. Please use ONLY the WebMail Client for password changes.
Navigate to the Web Mail client from
UNI email on the web.
