Departments wanting to hire students should adhere to the following steps to ensure their students are approved to work and complete timecards. Failure to complete these requirements may delay the hiring process for students.

Complete the appropriate Student Employment Approval Form (SEAF). The SEAF states whether students are eligible for work study, if they have filled out all necessary paperwork, and whether they meet enrollment requirements.
SEAFs can be submitted if a student is deficient in a particular field (e.g. enrollment or tax paperwork); however, their SEAF will not be approved until the issue has been resolved with Student Employment.

The SEAF indicates if hiring paper work is needed. Refer to the “I-9 Submitted” field. * NO means paper work is not on file and needs to be submitted. * YES means paper work is on file and does not need to be submitted. If hiring paper work is needed (“I-9 Submitted” says “NO”), these four documents need to be completed and submitted by the hiring department: I-9, W-4, IA W-4 (Centralized Employee Registry Reporting Form or CERRF), and Payroll Direct Deposit. These forms are available on the UNI Forms Repository (MyUNIverse > Work @ UNI > e-business Resources > e-Business Forms). IT IS AGAINST FEDERAL LAW FOR A STUDENT TO WORK OR BE EMPLOYED PRIOR TO COMPLETING THE I-9 FORM. Therefore, our office recommends that the packet be completed prior to or on the first day of employment.
The employing department completes the paperwork with the student. Once the packet is complete, it can be mailed or delivered to Student Employment, Gilchrist 105 (mail code: 0024). Further information about completing the four forms.
