Students

Q: Should I work on campus my first year at college?
A: YES. Having a job on-campus connects students with faculty, staff, and other students who may help them adjust to life at UNI. It also teaches students time management and various other responsibilities. Research has proven that many times, college students perform better academically and are more likely to remain in school if employed on-campus. Furthermore, work experience is helpful when interviewing for a career position after graduation.

Q: What should I do if I have been awarded work-study?
A: Students offered Work Study on their Financial Aid Award Notification must do the following:

  • Accept the Work Study.
  • Review currently available Work Study positions posted on the Online Job Board.
  • If students would like further assistance they should contact the Student Employment Office.
  • Students who do not have a job by the third week of the semester may lose their Work Study funding.

Q: Can I still work on campus if I did not receive work-study?
A: YES. Because of limited Work Study funding and financial aid eligibility requirements, not all students who apply for Work Study will receive it. If students are not awarded Work Study, they have some options:

  • Inquire about obtaining a Departmental Employment. On-Campus, Non Work Study positions are available on the Online Job Board.
  • Contact the Student Employment Office about Community Service Work Study opportunities.
  • Contact the Student Employment Office to be placed on a Work Study waiting list. If Work Study funds become available, students will be contacted.

Q: How many hours a week can students work?
A: Students may work a maximum of 30 hours per week while school is in session (40 hours/week during break periods). However, on average, students work approximately 10-15 hours per week.

Q: What is the minimum on-campus wage rate?
A: $7.25 . The rate of pay is determined based on the student's job responsibilities, experience, and ability to fill the position.

Q: How many on-campus jobs may students have?
A: Students may only have one Work Study job at one time. However, students may have both a Work Study and a Departmental Employment job at the same time as long as the student does not work over a total of 30 hours per week while school is in session (40 hours per week while school is not in session).

Q: How do I get Summer Work Study?
A: Once you register for Summer Classes you should to come to the Financial Aid Office and fill out Summer Financial Aid Application in addition to your FAFSA. Summer work study funds are limited.

Q: May students complete class assignments while working?
A: NO. The purpose of student employment is to provide meaningful work experience. Completing class assignments while working may interfere with this purpose and is not permissible.

Q: Where is the UNI Student Employment Office located?
A: The UNI Student Employment Office is a part of the Office of Student Financial Aid, 105 Gilchrist.

Q: If I do not have a checking account, how will I get paid?
A: UNI requires that students working on campus enroll in direct deposit. UNI is able to direct deposit paychecks into both checking and savings accounts. If students do not have any kind of bank account, a paper check will be issued and must be picked up from the cashier’s office.

Q: When is payday?
A: Student employees are paid every other Wednesday. View Payroll Periods and Paydays for more details.

Q: I am a Work Study student, does the money that I earn working on campus go directly to my ebill?
A: Any money earned through work study will be paid directly to the student to be used at his or her discretion.

Q: Why haven't I been paid?
A:
There are a couple reasons why a student may not have received his or her paycheck.
Students:
Have I filled out AND submitted my timecard?
Have I signed up for Direct Deposit?

If the answer is yes to both questions, please contact Student Employment for assistance.


Supervisors

Q: How do I gain access to be able to create a Student Employment Approval form?
A: In order to be able to access the Student Employee Approval Form (SEAF), supervisors must request access via the UNI Time and Self Service Authorization Form. This form can be found in the Forms Repository in your MyUNIverse portal. Supervisors must fill out the top portion and check the access request box for the Student Employment Approval Form. The form will also have to be authorized by the department head. Once it is completed, the form must be sent to ITS Information Systems, Mail Code 0381.

Q: Why is a SEAF Pending?
A: A student’s SEAF may be pending because new hire paperwork has not yet been submitted for the student. The required paperwork for new hires includes, the I-9, W-4, CERRF, and direct deposit forms.
A SEAF may also be pending because a student is not meeting enrollment requirements. If a student is enrolled less than half time, an enrollment exception must be requested. Supervisors may request an enrollment exception by contacting the Student Employment Office at unistudent-jobs@uni.edu.

Q: How do I change a student employee’s salary, supervisor, labor distribution account?
A: In order to submit changes to a work assignment that has already been created and approved, a Change Existing Assignment Form must be submitted. This can be done by opening the Student Employment Approval Form and entering the ID number of the student who’s assignment needs to be changed in the “Change Existing Assignment” Field, then entering the effective date of the change, and updating the necessary fields.

Q: If I employed a student last academic year, do I have to submit a new SEAF this year?
A: If a student was employed by you and paid DEPARTMENTALLY in the previous academic year, a new SEAF will not need to be created. However, if you plan on having a student who was paid by WORK STUDY return for a new academic year, a new SEAF must be submitted.

Q: Why hasn’t my student been paid?
A: There are a couple reasons why a student may not have received his or her paycheck. Here are some questions to ask yourself:
Have I created an assignment for the student employee in SEAF?
Has the assignment that has been created in SEAF been approved?
Have I submitted pre-employment paperwork?
Have I approved the student’s timecard?

Q: How can I check the work study balances for current Student Employees?
A: Student earnings that exceed the maximum awarded to the student will be charged to the departmental account. Supervisors and timecard approvers can monitor their work study employees earnings on a daily basis by viewing the Work Study Monitoring Report. This is available via MEMFIS, Supervisor Self-Service. If a student employee is nearing their award, or if a student is not working enough hours to earn their Work Study amount, the student’s name will be highlighted. If a student is close to reaching their award, departments should let that student know and set them up departmentally if desired. After a student has obtained their Work Study amount, departments are responsible for sending a termination form terminating their work study position and creating a new departmental assignment. The Work Study Monitoring Reports are available by following the directions provided:
