Checklist for faculty searches
Record the search number on all paperwork related to the search.
After the Dean approves the Search committee, a copy of this checklist should be sent to the Search chair and a copy of the committee should be forwarded to the Office of Compliance and Equity Management. .
BEFORE ADVERTISING, SECURE APPROVAL FOR YOUR ADVERTISEMENT:
Refer to the Recruitment & Hiring Guide for Faculty, which you will find at Office of Compliance and Equity Management.
Pages 4-5 of the guide delineate the guidelines for writing your ads and position announcements.

Write your minimum qualifications very carefully. YOU MAY USE ONLY REQUIRED MINIMUM QUALIFICATIONS AS THE BASIS FOR ELIMINATING APPLICANTS FROM YOUR POOL. In other words, if you also list "preferred" qualifications, those qualifications may not be used as a basis to eliminate an applicant. Once you have interviewed and you are ready to make recommendations for hiring, preferred qualifications may be used to distinguish between finalists.

Along with the text, provide the posting locations and proposed posting dates. Indicate the type of ads to be used for each posting (on-line, in-column, print display, list-serve, etc.)
BEFORE INTERVIEWING, SECURE APPROVAL FOR YOUR INTERVIEW POOL:

Refer to the Recruitment & Hiring Guide for Faculty, page 6. Please note that you must provide a reason for non-selection for each applicant. This list should be on your department's letterhead and must include the applicant name and number and be attached to your Faculty Interview Pool Approval form. Note that the reason(s) for non-selection must be specific, job-related and based on the required qualifications (not the preferred qualifications) as listed in your ad.

Bear in mind, as you choose your interview pool and list your reasons for non-selection for the remaining applicants, that you may wish to create a second tier pool from which you will choose other finalists, should it be necessary to return to your applicant pool to identify more interviewees. You are allowed to identify a small number of applicants whom you would consider in a second tier, and this designation may be listed as the sole reason for non-selection for those applicants.

When submitting the finalist Faculty Interview Pool Approval form, include the original files of all applicants whom you are requesting to bring to campus. Have these materials hand-delivered. Do not put them in Campus Mail.

During the review of the pool, additional information may be requested, as well as the original files of other applicants. If this information is needed, you will be contacted.
